Privacy Policy

This Privacy Policy explains how Klokwise HR & Payroll (the “App”, “we”, “us”), a product of Revelar Solutions, collects, uses, and protects information when your employer uses the App to manage attendance, leave, and payroll.

1. Information we collect

Account & profile

• Name, work email, employee ID, role, and department
• Contact number and reporting manager (if provided by your employer)

Attendance & location

• Location (GPS): captured only at the moment you punch in or out, to verify you are within your workplace geofence. We do not track your location continuously or in the background.
• Wi-Fi network identifier (BSSID): when your employer enables Wi-Fi verification, to confirm you are on the office network at punch time.
• Punch timestamps, shift, roster, and regularisation records.

Camera & face verification

• Selfie / face image at punch: used to verify your identity when marking attendance. Liveness detection runs on your device; the captured image is stored securely for your employer’s verification.
• Receipt photos: when you submit a reimbursement claim.

Payroll & financial

• Salary, payslips, tax declarations, and Form 16 data
• Bank account and IFSC (for salary transfer), PAN, and statutory IDs (PF/ESI/PT) — as provided by you or your employer
• Loans, advances, reimbursements, and full & final settlement details

Device & technical

• Device model and identifier (to secure your account to one device and prevent attendance fraud), app version, and diagnostic data
• Push notification token (to deliver alerts)

2. How we use information

• Record and verify attendance, leave, shifts, and field visits
• Calculate and deliver payroll, payslips, and statutory compliance
• Prevent fraud (location, Wi-Fi, face, and device checks)
• Send work-related notifications (approvals, payslips, announcements)
• Provide HR features your employer has enabled (performance, surveys, recruitment, documents, and letters)

3. Sharing of information

We do not sell your personal data. We share it only:

• With your employer (the Organisation) that manages your account — the reason the data exists;
• With infrastructure providers that host the service on our behalf, primarily Google Firebase / Google Cloud (data stored in the India region);
• Where required by law or to protect rights and safety.

4. Data storage & security

Data is stored on Google Firebase / Google Cloud (asia-south1, India). Access is enforced by strict multi-tenant security rules: employees can see only their own records, and payroll/financial details are restricted to authorised administrators. Data is encrypted in transit (HTTPS/TLS) and at rest by the cloud platform. Survey responses are collected anonymously.

5. Data retention

We retain your data for as long as your employer maintains an active account, and as required for payroll, tax, and legal record-keeping. When your employer removes your account or ends their subscription, data is deleted or anonymised in line with applicable legal retention periods.

6. Your rights

You may request access to, correction of, or deletion of your personal data. Because your employer controls your records, please direct such requests to your HR team; we will support them in fulfilling valid requests. You can revoke camera and location permissions at any time in your device settings, though this may prevent attendance features from working.

7. Children

Klokwise is a workplace tool intended for employed adults. It is not directed to, and we do not knowingly collect data from, anyone under 18.

8. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by the “Last updated” date above.
